Year-End Payroll Checklist: What Western NY Employers Should Review Before 2027
November 2, 2026 By Bene-Care
A year-end payroll checklist helps employers close out 2026 accurately and start 2027 without W-2 corrections, tax notices, or unhappy employees. The last few weeks of the year move fast, and small payroll details are easy to miss when holidays, bonuses, and deadlines all land at once.
Whether you have 10 employees or 300, a little preparation now saves hours of cleanup in January. Use this year-end payroll checklist to review the most important year-end payroll tasks, plan ahead for the new year, and make sure your team’s W-2s are right the first time.
Start your year-end payroll checklist with the items that affect W-2 accuracy. These are the details that cause the most corrections and employee questions in January.
Confirm every employee’s legal name, Social Security number, and mailing address. A name or SSN that doesn’t match Social Security Administration records can lead to rejected filings and W-2 corrections. Ask employees who moved this year to update their address through your employee self-service portal so their W-2 arrives at the right place.
Make sure all bonuses, commissions, and taxable fringe benefits are recorded in payroll before your final 2026 run. Common items include personal use of a company vehicle, gym memberships, and group-term life insurance over $50,000.
Holiday gifts count too. Gift cards and cash gifts are generally taxable wages, no matter the amount, and should run through payroll.
If employees received sick pay from an insurance carrier, confirm those amounts are reported so W-2s are complete. S-Corporations should also report health insurance premiums paid for 2% shareholders, which are included in their W-2 wages.
Christmas Day (Friday, December 25) and New Year’s Day (Friday, January 1) are bank holidays, so direct deposits can’t process on those days. Check your payroll calendar now and plan to submit payroll early for any pay dates near the holidays. Holiday timing is one of the most commonly missed items on a year-end payroll checklist.
Payroll is taxed by the check date, not the dates the work was done. A paycheck dated January 1, 2027 counts as 2027 wages, even if it covers work from December 2026. Decide now which year you want final December wages and bonuses to fall in, and set check dates to match.
A good year-end payroll checklist also sets you up for the new year. Updating rates and policies before your first January payroll prevents retro pay and corrections later.
Finalize any 2027 raises, new pay rates, and PTO accrual changes so they’re in place for your first payroll of the year. It’s also a good time to update your employee handbook, leave policies, and NY Paid Sick Leave practices.
A new year is a good reminder for employees to check their federal withholding, especially after marriage, a new baby, a second job, or other life changes. Employees who claimed exemption from withholding in 2026 must submit a new W-4 by February 15, 2027 to keep that status.
For 2026 wages, W-2s are due to employees and the Social Security Administration by Monday, February 1, 2027. The usual January 31 deadline moves to the next business day because it falls on a Sunday. Form 941 for Q4 2026 and Form 940 are due the same day.
The final item on your year-end payroll checklist is reconciliation. Before W-2s are produced, run a year-end payroll register and compare it with your quarterly filings. Catching a mismatch in December is much easier than filing a W-2c in February.
Electronic W-2 delivery is faster and more secure than mailing paper forms. Employees get their W-2 sooner, can download it anytime through a secure login, and don’t have to worry about a lost or stolen envelope. Employees must give consent to receive their W-2 electronically, so start collecting it now. Learn more in our post on the benefits of electronic year-end delivery.
